  • Why is the conference always in December during the Christmas break?
The timing of the conference in December during the Christmas break is a deliberate choice made to accommodate the unique needs and preferences of our attendees. Christmas Break Significance: Family Time: December coincides with the Christmas break, a time when both students and many working adults have extended time off. This aligns with our goal of fostering family togetherness, as it's a period when parents and children can be off work and school simultaneously, allowing for quality family time. Alternative for Muslims: For Muslim families living in the West, December often presents a challenge due to the prevalence of non-Muslim holidays. Holding the conference during this time offers Muslim families an enriching alternative to non-celebratory events, aligning with our mission of providing alternatives that resonate with our community's values. Future Possibilities: We remain open to future possibilities. InshAllah, if we are granted the opportunity, we may explore the idea of hosting smaller conferences during warmer months in different areas. However, the December conference will continue to be our flagship event.
  • Why did you move the conference from Chicago to Louisville?
This change stems from valuable feedback and careful consideration to enhance your experience. While nothing is permanent and we may return to Chicago in the future, we are eager to explore the benefits of this new location. Here are the key reasons for this move: Weather Considerations: One of the main concerns voiced by attendees has been the harsh winter weather in Chicago. Louisville offers a much milder climate, with average December temperatures around 47°F, compared to Chicago, where temperatures often fall well below 30°F. This change ensures a more comfortable and predictable travel experience. Central Location: Louisville is even more centrally located than Chicago, offering convenient access from various major cities. For example, it is a 5-hour drive from Dearborn, MI, a 4.5-hour drive from Chicago, IL, and a 6-hour drive from Atlanta, GA. This centrality ensures that more attendees from across the country can easily join us. Enhanced Accessibility for Southern Attendees: Over the years, we've seen a significant increase in attendees from the southern regions. Moving to Louisville brings the conference closer to them, with driving times such as 10 hours from New Orleans, LA, and 12 hours from Dallas, TX, while still maintaining a similar distance for our attendees from other major source cities. For example, the difference in distance from Dearborn is only 65 more miles. Suitable Venue Requirements: Finding suitable venues that meet our strict criteria has always been a challenge. We require full control of the kitchen to ensure halal food preparation and enough hall space to accommodate our extensive programming for an average of 1,000+ attendees. This venue meets these needs, ensuring we can deliver the high-quality experience you expect. In conclusion, the move to Louisville aligns with our mission to provide a more comfortable, accessible, and enriching conference experience for all attendees. We look forward to seeing you there!
  • Can you provide the schedule for the conference, especially on the first and last days?
While the first and last days primarily focus on check-in and check-out, the main programming spans the three full days in between, running from morning to night between December 21st December 23rd. Specific session details will be announced closer to the conference date. For a preliminary overview of the conference flow, please download the attached document .
  • Does the cost for additional persons in a room include conference fees?
Yes it does. The registration fee has a base price that covers one room (you choose the number of nights) and one person (the registrant). Additional roommates, along with their conference fees, can be added accordingly.
  • What is the student pricing for Full Lodging and Admittance?
Student pricing is applicable to additional roommates. The base pricing already incorporates discounts.
  • Is it possible to secure connecting rooms (side by side)?
Connecting rooms are limited and offered on a first-come, first-served basis. If you wish to request connecting rooms during your registration, please use the comment box provided on the form. If you've already completed your registration and would like to make this request, kindly contact us at Registration@TheSiratInitiative.com using the same email address you used for registration.
  • How can I register for "Option 2 - (without Hotel Accommodation)" online or in advance?
"Option 2" can only be registered for onsite during the conference. This decision serves multiple purposes. Firstly, it allows local participants to have the opportunity to register for the conference, especially considering our frequent sell-outs and limited space. Additionally, pre-registration demands extensive processing, and we prioritize it for "Option 1" as it requires more attention and coordination in advance.
  • What should I do if I made an error during my initial registration or need to make adjustments later?
For any registration adjustments or corrections, please contact Registration@TheSiratInitiative.com using the email address you used for registration. Our registration team will assist you accordingly.
  • Will the conference sessions be available for online streaming?
As of now, we do not have plans to live-stream conference sessions. Attendance is recommended to fully engage in the conference experience.
  • Why does conference pricing seem expensive?
Several major factors affect conference pricing this year, including the impact of inflation, which has led to significantly increased costs across various industries, including hospitality and event planning. Additionally, factors such as rising airfare and transportation expenses, along with fluctuations in food prices, have contributed to the overall increase in expenses associated with organizing the event. It's important to note that The Sirat Initiative is run entirely by volunteers, and our primary goal is not profit but to cover the expenses associated with organizing such a comprehensive event. Despite these challenges, we strive to maintain reasonable pricing while providing attendees with a valuable and memorable experience. For example, our full lodging package for a single adult, priced at $745, includes accommodation for four nights in a top-notch venue that has been recently renovated and beautifully overhauled to offer a modern, comfortable, and spacious environment. The package also includes 8 meals and access to all programming. To put things into further perspective, if we break down the cost and focus solely on the hotel, the average price per night at the Crowne Plaza Hotel is around $160. Therefore, for a four-night stay, it totals $640. We believe this package offers excellent value for the experience and services provided during the conference.
  • What is the refund policy, especially for last-minute travel issues due to weather conditions?
You may cancel your registration for a full refund until December 1ST, as outlined in our TERMS and CONDITIONS, a mandatory agreement for event registration. Please be aware that our cancellation policy is strictly enforced. This practice is vital to uphold careful budgeting, especially for crucial aspects like food and other quantity-dependent elements. We aim to strike a balance to ensure affordability for families and individuals attending the conference. Additionally, it's important to consider hotel room allocation, as hotels enforce strict rules on last-minute cancellations for events like ours. They allocate a significant portion of the hotel for our group, and we must meet a specific quota to maintain the negotiated room rate. Late cancellations hinder our ability to make necessary adjustments, especially given our event's proximity. For reference, please find the 2024 Conference TERMS and CONDITIONS attached.
  • How should my sibling and I register together and share a room?
To register together and share a room with your sibling, you can complete a single registration form. Select the desired number of nights and add your sibling as an additional roommate during the registration process.
  • Can we expect vendors at the conference?
Yes! Our conference features a vibrant Bazaar with a diverse selection of Islamic items, including literature, books, audiovisual media, jewelry, clothing, and more.
  • Is it possible to register now and add a roommate at a later time?
Yes, you can follow this process. First, register yourself, and when you are ready to add a roommate, simply email Registration@TheSiratInitiative.com with your request. We will then assist you by adding your roommate and sending a separate invoice.
  • When is the registration deadline for the conference?
Pre-Registration will close in early December. Please note that we tend to reach full capacity by November/December due to limited hotel space. Thus, we strongly recommend registering as early as possible to secure your spot.
  • Will there be a children's program or specialized programming for young children?
Our conference offers comprehensive programming for various age groups, catering to Child Youth (3 - 6), Junior Youth (7 - 13), High School Youth (14 - 17), and Adults (18 & up). These programs ensure an inclusive and enriching experience for all attendees.
  • How can I add an additional room to my registration?
You can easily add an additional room to your registration directly from the registration form. During the registration process, when you select that you have additional roommates, towards the end of the form, an option to add extra rooms will automatically pop up.
  • What kind of programming does the conference have?
The 2024 Sirat Conference offers a diverse range of programming designed to cater to various interests and age groups. Our programming includes insightful lectures from renowned scholars, interactive workshops, engaging discussions, youth-focused sessions, and activities for families. We also have dedicated spiritual and social gatherings, providing a comprehensive experience that blends traditional values with modern insights. Whatever your interests or age, you'll find meaningful and enriching programming at the conference. Here's a breakdown of our programming by age groups: Child Youth (Ages 3 - 6) Junior Youth (Ages 7 - 13) High School Youth (Ages 14 - 17) Arabic Adult Program (Ages 18 & up) Main Adult English Program (Ages 18 & up)
  • How many beds are typically in a hotel room at the conference venue, and how many people can it accommodate comfortably?
Rooms at The Sirat Conference venue are equipped with either one King bed or two Queen beds. Each Queen bed can comfortably accommodate up to two adults, which means a room with two Queen beds can house a maximum of four adults. It's important to note that the hotel policy restricts the number of beds in a room to two at maximum, and they do not permit adding a Rollaway Bed to a room with two beds in it. While we don't require additional rooms for more than four adults, we strongly recommend booking extra accommodations for your comfort and convenience.
  • Do you offer discounts, such as an early bird discount?
Currently, we do not offer discounts like early bird specials. It's important to understand that The Sirat Initiative is operated entirely by volunteers, and our main objective is not profit but covering the expenses required to organize this comprehensive event. Given our commitment to maintaining affordable pricing, we have limited opportunities for discounts.
